Activities


There are several types of activities that you need to track such as appointments, tasks, calling a customer or emailing a contract.

Objectives:

  1. Learn how to log a call and send emails
  2. Discover how to manage appointments and tasks

 

Overview

There are several types of activities that you need to track such as appointments, tasks, calling a customer or emailing a contract.

Activities can be created by you, or they can be assigned to you by another user, or by a workflow set up by your administrator. Activities are displayed either on the Home page or on specific records, such as an Account, Contact or Mice Quote.

An administrator can create automated activities for Sales Managers such as follow up calls, reminder to send proposals and contracts, or to check on a deposit.

 

To Log a Call:

1. In the activity related list click 'Log a Call'

2. Enter following details about the call:

      o    Subject

      o   Comments

      o   Name (Search Contacts)

      o   Related to (Defaults to Account that you just opened or to Account that is associated with Mice Quote)

3. Click 'Save'


To Send Emails:

1. In the activity related list click on 'Send an Email'

2. Enter following details:

      o   From

      o   To

      o   CC\Bcc

      o   Subject

      o   Body

      o   Related To

      o   You may also attach files by clicking on the ‘attach file’ icon

3. Click on 'Send'

Task Management

Create Task:

1.In the activity related list click on 'New Task'

2. Enter following details about the task:

      o   Subject

      o   Due date

      o   Name (Search Contacts)

      o   Related to (Defaults to Account that you just opened or to Account that is associated with Mice Quote)

      o   Assigned To

      o   Status



To Open a Task:

Tasks can be accessed via task link in:

      o   Activities related list on the associated record (Account, Mice Quote)

      o   My Tasks List on your Home Page

To close a task, click on the task link:

       o  In the Activies related list on the associated record, click CLs next to the task

       o   In the My Task list on your Home Page, click X next to the task

 

Appointments

Appointments can be opened from one of the following locations:

        o   Calendar on your Home Page

        o   Activity related list on the associated record



To Create an Appointment:

Appointments can be created for an account, contact or Mice Quote. When you invite other users or contacts to a meeting, those individuals are emailed a meeting request. They can click the 'Respond to This Request' button and accept or decline the request. When a user accepts a meeting request, the appointment is automatically added to their Calendar on the Home page. If you later change the times or cancel the appointment, all invitees are notified via email and their calendars are updated.


1. To create a new appointment, you can do one of the following: 
  1.         In the Open Activities related list on the record, click 'New Appointment'
  2.         In the Calendar section of the Home page, click 'New Appointment'

2. Enter following details about the task

  1. Assigned To
  2. Location
  3. Subject
  4. Start/End Date and Time
  5. All Day Appointment
  6. Related to (Defaults to Account that you just opened or to Account that is associated with Mice Quote)
  7. Name
  8. Description

3. To add other users and contacts to the appointment, click 'Add Invitees'. You can also remove users and contacts. Invitees are emailed an invitation to the meeting.

4. Finally, click on 'Save' or 'Cancel' to discard your changes without saving.
