Find contracts and proposals to your customers
If you need to look up specific information in customer contracts, it’s very easy to find them in Thynk. This is why it’s important that the sales team use Thynk to produce their proposals and contracts (and BEOs) from Thynk. Thynk allows you to save these documents on the account itself making them so much easier to find than looking through the many shared drives and folders elsewhere.
Of course, for you to find a document in Thynk, you will need to have your own user log in and password. If you don’t, please contact your Thynk admin.
Log into Thynk and go to your Global search bar on the top of your screen and type in the account, agency, or booking you are looking for.
Click on it to open it. If you are looking at the account (or agency), click on the ‘Bookings’ tab. If you looked for the booking, you will be taken straight to the booking itself and skip to Step 4.
Find the booking you are looking for and click on it to open it.
Click on the ‘Documents’ tab - here you see all available document templates. The sales team can run them anytime as PDF or Word Docx files.
Scroll down to the section called ‘Files’, you will see a number in parentheses. This indicates the number of files attached to this booking. When a proposal, contract or any of these documents are generated in Thynk, they are automatically saved to ‘Files’ for you to always access.
If you need to simply look at the information in the contract, maybe you want to double check something for billing purposes, click on the contract link in purple to open it.
The date below the link indicates when that contract was generated last. Everytime a document is generated it will be saved here in ‘Files’ in order of most recent first. It is possible to see several versions of a proposal or contract as booking changes are made by the customers.
If you see many files, click on ‘View All’ and find the appropriate document. You can do this for any other document listed.
Thynk makes it easy to find documents without having to sift through shared drives - however, for this to work effectively, the sales team should be generating their documents through Thynk.
You can also save signed contracts, or anything else directly to the booking by using the ‘Add File’ button on the ‘Files’ section of the booking.
