How to Search for a Contact, Create a New Contact, and Edit an Existing One

How to Search for a Contact, Create a New Contact, and Edit an Existing One

Learning Objectives

This article will show you how to….

  1. Search for a contact

  2. Create a new contact

  3. Edit an existing contact

Searching for a Contact

Always, search for contacts before creating new ones so you don’t inadvertently create duplicate contacts.  There are two ways of searching for contacts.

Method 1 -Searching

The easiest way to search for anything (account, contact, booking, event) is using the global search bar on the top of your Home screen.

  1. In the search bar, type the name of the contact and ‘enter’. This will search everything, accounts contacts etc.

  2. If you click on the down arrow on the left of the search field, and select ‘Contacts’, it will only search for Contacts.

Method 2 - Searching

The 2nd method is sometimes more logical if you know which account the person works for.  In this case, you find and open the account first and look there:

  1. Find the account, by searching in the global search field on the Home Page, and open the account.

  2. Click on ‘Related’ and look at ‘Contacts.’

  3. A list of contacts appears; if there are too many contacts to show in this screen, click on ‘View All’ to see the rest of the contacts.

Creating a New Contact

As you receive leads, you will either find the contact already exists in Thynk, or you may need to create a new contact.  Thynk will not allow you to save contacts that are not linked to accounts, so you will have to create the account as well if it doesn’t already exist.

If the account already exists, or you have just created a new one, follow these steps to create a new contact:

  1. Open the account, and click on ‘Related’.

  2. Under Contacts, a list of contacts appears. Always check that this new contact doesn’t already exist.

  3. Now, to create a new contact, click on ‘New’.

  1. Complete the fields in the new contact window. Be as thorough as possible so you have the best data possible.

  2. You will notice in the ‘Account Name’ field, the name of the account is already populated.

  3. This is because you created the contact from the account. Finish all fields and ‘Save’.

If you haven’t checked that the account exists, you can also just go right in and create the new contact.  You will have the opportunity to create a new account if it doesn’t already exist, straight from the contact you are creating.  To do this:

  1. First search for the contact using the global search field.

  2. Click on the ‘Contacts’ tab, and click on the ‘New’ button to the right.

  1. In the ‘New Contact’ window, complete the fields. Complete as much as possible so you have the best data possible!

  2. In the ‘Account Name’ field, start typing the account name. If it exists, it will show in your field and you can select it.  If it doesn’t show, this means, this account doesn’t exist.

  1. Click on the + ‘New Account’ which opens the ‘New Account’ window, where you complete the account fields. When done, you will be returned to the ‘new contact’ window.

  2. Finish the contact fields and ‘Save’

Editing an Existing Contact

Again, similar to keeping accounts updated, it’s important to always keep your contacts up to date.

For example, your contact is getting married, or you find out other personal things about this person that would be valuable to provide a more personalised service (e.g. allergies, or favourite hobbies) you can update this in Thynk.

Editing contacts is similar to editing accounts. To edit a contact, follow these steps:

  1. Find the contact you wish to edit.

  2. Open the contact by clicking into it.

  3. Move your cursor to any field you see a ‘pencil’ icon, and click on the pencil, or click onto the 'Edit' button.

  4. Enter in the correct information, and 'Save’ when done.

Best Practices for Creating and Editing Contacts

  • Always check first if the contact already exists before creating a new one to reduce the chances of adding duplicates!

  • Always complete as many fields as possible on this contact, because this will help you manage them much better and give them a personalised experience.

  • If you have personal information (that’s not too personal) you could also add this into Contact Comments to make conversations with them more pleasant.
