Every booking goes through the following stages or ‘booking statuses’. These are the standard ones in Thynk, but you may have some custom ones for your system already, which don’t appear here in this article:
Qualified
Proposed
Tentative
Closed
Qualified - You have received a lead for a group booking and you are waiting for your customer to decide if they wish to have a proposal.
Proposed - The customer has asked for a proposal and you are waiting for an update from them.
Tentative - The client has asked for a contract. At this Tentative status, the block is typically sent to the PMS to hold inventory, but may be configured to status ‘optional’ so that pickup cannot begin until the booking is confirmed. you are holding the guest rooms and function rooms until a decision has been made. (Note that if you have an integration, holding guest rooms in your PMS is dependent on how the integration has been configured.)
Closed - This status has four choices:
Won - the client has signed the contract and booking is ‘Definite’ or ‘Confirmed’- Guest rooms are held in the PMS.
Lost - The customer chose not to book at your property.
Canceled - the customer signed the contract, but for some reason they canceled it. In this case, cancellation fees may apply based on your Terms & Conditions.
Refused - The hotel cannot accommodate the group and the business is ‘refused’.
These instructions are based on the standard Thynk configuration so you can understand the process. Follow your own SOPs as you will have your own additional booking statuses.
If you are connected to your PMS, your system would have been configured to send room blocks based on the specific statuses. If you are not sure, check with your Thynk Admin.
It’s important to have the correct lost business reasons in the system. Only your Thynk admin can adjust them so please check with them if you need to add something to the lost business reasons drop down list.
