Handle a booking that is Definite but an Event is still Tentative or Optional
In most cases a booking has the same status for the booking and the events.
It is possible, however, in rare cases and with more complicated bookings with many events, that the booking itself is confirmed with the rooms and the events, but the customer is not sure of one of the events (e.g. Maybe they’re not sure they want to have a cocktail reception). Or another example is that for an incentive booking, the client wants to go ahead and book the guest rooms, but may have an optional cocktail or dinner on site.
All events under the booking will, by default, take on the status of the booking. But if you have one event that you need to change the status for, follow these steps:
Find and open the booking.
Go to the ‘Related’ tab on the right side of the booking page, and go to ‘Events’.
Find the event and click on the event name to open the event.
Click on the ‘Edit’ button or click on the pencil icon to allow editing.
Scroll down to the ‘Scheduler’ section of the event.
Edit the field ‘Reservation Status’ to whatever the status should be.
And lastly ‘Save’.
When you have a different event status, it will show accordingly on the function diary as well. When the event is confirmed, you can go back into the event and edit the ‘reservation status’ field.
By default, all events on a booking will take on the status of the booking, however it is possible for an event to have a different status.
The function diary will always show you the event status, so you could have booking with confirmed events, and optional events.
