Your New Inquiry is saved, what’s next?

Once you have saved you will be redirected to the saved inquiry’s page you can add and edit lots of information. However in this article we will talk about adding & editing Inquiry Events and Guest Rooms.

Inquiry Events & Guest Rooms

Please be aware that this can only be done after generating a new inquiry.
On your Inquiry you have the ability to add and edit Inquiry Events and Guest rooms. This is to allow those who manage inquiries have the ability to add these items if needed. When you convert the inquiry into a booking, the system will automatically incorporate these items in the booking.

Add, Edit and Convert Inquiry Events and Guest Rooms:

  1. You can find them on your saved Inquiry page via the ‘Related’ tab. Inquiry Events and Guest Rooms should be visible. Depending on which one you want to create, select the New’ button.
  2. A window will pop-up where the user would adjust and fill in the fields. Some fields may already have information filled from the Inquiry for example ‘Arrival Date’. However you can adjust them on this window as needed without affecting the details on the Inquiry.
    1. For Inquiry Guest Rooms: The arrival date and departure dates can also be left blank. If left blank, when converting the Inquiry into a Booking the Guest Room will default to the Booking's arrival and departure dates.
    2. For Inquiry Events: The start date and end dates can also be left blank. If left blank, when converting the Inquiry into a Booking the Event will default to the Booking's arrival dates.

  3. Click ‘Save’
  4. If you need to make any adjustments you can do so by clicking the Event / Guest Room line’s dropdown and select ‘edit’
  5. When your inquiry converts into a booking, you'll see an Event and/or a Guest Room automatically added to the booking. These are built with the property’s default values but can be adjusted later as needed.Check the screenshot below for reference.

Best Practices for Inquiry Events and Guest Rooms

  1. Start by checking with your Director of Sales, as your hotel may have strict policies on how to use Inquiries. The SOPs will provide guidance on when and how to add Events and Guest Rooms on an Inquiry
