January 2024 Product Updates

Below you will find a brief, high-level description of enhancements and new features included in the latest product updates.

Inquiries

Updated New Flow

In our November 23’ release we introduced a new flow for inquiries. We listened to your requests for more flexibility when it comes to making quick conversions and more. We're happy to announce that we've introduced many of these updates in this release. Read more about converting Inquiries here.

  1. When creating a new inquiry you can now choose ‘Requested Properties’ and decide whether or not you want the inquiry to be converted into bookings for the properties. The requested properties list is also visible after you save the inquiry.

  2. When converting a saved Inquiry, you now have two options:
    1. Quick Conversion: This will show all available properties and highlight any requested properties.
    2. Enhanced Conversion: This will allow you to filter out and find the ideal properties that match customer requirements.

  3. During the conversion process you may notice a new lock icon on a property name. This is to show that the property has already been converted. To undo an already converted property, you must delete the booking.

Sales Program & Source

  1. In the November release, we introduced the ability to link inquiries to specific source and sales programs. Once those inquiries are converted to bookings, the bookings will also be tied to the source sales program so that your sales team can appropriately measure ROI on those programs.

Renamed fields and help texts

  1. To reduce confusion at the Inquiry Stage, we've chosen to rename certain fields and included additional help texts for clearer guidance.

    1. ‘Meeting Room’ is now called ‘Function Space‘

    2. ‘Room Count’ is now called ‘Number of Function Spaces’ with the help text: “Total number of function spaces on property”

    3. ‘Room Size’ is now called ‘Size of largest Function Space’ with the help text “Area in meters/feet of largest function space on property”


Accounts & Contacts

  1. In this release, our aim was to reduce the number of clicks required to add Accounts in other areas. Read more about Accounts & Contacts here.

    1. When generating an Inquiry from the related list on the Contact record, we now automatically fill in the ‘Account’ field associated with the Contact.

    2. When adding an Agency Contact or Company Contact on a Booking, the ‘Agency’ or ‘Company’ field will now be pre-populated with the linked accounts of the respective contacts, reducing the manual input required.

Products

We recognize the importance of allowing editing, adding, and removal capabilities for specific records. We've also acknowledged your feedback that too much freedom was negatively impacting data quality on bookings. In response, our latest release addresses this concern. Read more about Products here.

  1. Products can be updated and deleted by admins, however we've updated when and what can be changed when a product already exists on a booking, package line or combo product. If the product is already linked to one of the three, it can no longer be deleted, and the product ‘Type’ can no longer be modified.

  2. There are two new error messages to clearly define the issue if changes are attempted on a Product already in use:

    1. Delete error “Product cannot be deleted once added to a booking, package line or combo product”

    2. Change error “the product type cannot be changed once added to a booking, package line or combo product”

Function Spaces

We are continuously improving the capabilities of our ‘Function Spaces’. See below the updates within this release.

  1. Previously, Privatized Function Spaces operated within their Total Capacity. However, Shareable Spaces didn't adhere to these limits. In this release, Shareable Spaces now strictly operate within their allocated Total Capacity limits. Read more about Function Spaces here.
    1. Example: My shareable restaurant has a maximum capacity of 100. I can overbook the restaurant by adding two groups of 30 and a separate group of 20, but I cannot privatize the restaurant by booking a single group for 120.

Integrations

Opera

  1. For our client using the latest version of our Opera integration, the PMS Company or Agency Accounts are now sent to Opera when the Booking reaches a specific stage even if the Booking has no Guest Rooms. This can be beneficial for billing teams. To have this new feature enabled, please reach out to our support team, and they'll let you know if it's available with your integration!

Mews

  1. For clients that are integrated with Mews, we now populate the ‘Type’ field on the Account when it has been created from a PMS Account.
